We’ve all been there—filling our days with endless tasks that leave us feeling like we’ve accomplished nothing. It’s easy to get bogged down by the sheer volume of things to do, but instead of trying to schedule every minute, we recommend focusing on your top three priorities.
Think of these three tasks as your "north stars"—the essential actions that will truly move the needle in your business or personal life. It’s about quality, not quantity. The rest of your to-do list? It can wait.
Here’s how we navigate our project load each day:
Decide your top three priorities first thing in the morning. If you don't know what to tackle, think about which tasks will have the most significant impact (the greatest ripple effect of productivity and progress).
Be Realistic About What’s in Your Wheelhouse. Great leaders know their strengths, limitations, and the true capacity of their time and resources. As Jim Collins discusses in Good to Great, effective leaders don’t live in a fantasy world; they understand what’s achievable and what isn’t. Be realistic about what you can tackle yourself and what needs to be delegated.
Acknowledge that not every task is yours to carry, and focus on where your energy will make the biggest impact. If you're consistently prioritizing tasks that someone else could do more efficiently, you're pulling yourself away from things that need your attention more or that could be done better by someone else.
Remove those tasks from your priority list and replace them with something that will have a greater impact on your goals and well-being. This clarity helps you prioritize and ensures you're moving forward with purpose, not exhaustion.
Focus on them throughout the day, without getting distracted by less important tasks. If you get through those three, feel free to tackle more—but remember, success doesn’t mean doing everything.
By narrowing your focus, you'll find more satisfaction in the progress you’re making rather than feeling like you’re falling short. You’ll also avoid that sense of overwhelm that comes with trying to do it all.
2. Take Breaks to Recharge (Yes, Really!) 🏓
It might feel counterproductive, but taking intentional breaks is essential for maintaining productivity in the long run. You’re not a robot—you need to recharge.
Whether it's a quick walk outside, a few minutes of meditation, or playing a few rounds of pickleball, these mini-breaks are key to preventing burnout. 3. Don’t Wait for Motivation—Just Start 🏃
One of the biggest struggles we face (and we know you do too) is decision paralysis. It’s easy to get stuck in the planning phase—waiting for the perfect moment, strategy, or motivation to strike. But here’s the secret: waiting for motivation is often just procrastination.
Sometimes, the best thing you can do is stop waiting for that burst of inspiration and just start. The act of doing something—anything—can help break the cycle of inaction and get you back into momentum. It doesn’t have to be perfect; it just has to move you forward.
Here’s how we do this in our work:
Pick a small, easy task—even if it’s just a simple one. Tasks that can be accomplished in under 5 minutes are great for getting the ball rolling.
Batch tasks that are similar and can be done together. Grouping similar activities—like responding to emails, scheduling meetings, or organizing your files—helps you work more efficiently and stay focused.
Break Tasks Into Bite-Sized Pieces: If a task feels too big, break it down into smaller, more actionable steps. Instead of “write a blog post,” break it into “outline the blog post,” “write the introduction,” and so on. This makes the process feel less overwhelming, and also prevents you from trying to conquer the world in one sitting.
Remove Distractions: The less clutter in your environment (both physical and digital), the easier it is to start. Set your phone on Do Not Disturb, close unnecessary tabs on your computer, or clear your workspace. Reducing distractions helps you focus on the task at hand.
By focusing on small actions, you’ll make real progress without getting bogged down by the idea that everything needs to be flawless. This way, you end your day feeling accomplished instead of defeated by a never-ending to-do list.
